Corporate records rarely begin in one tidy system. Articles may be in an old email, signed resolutions in a shared drive, and bylaws on someone else's computer. MinuteKeep's PDF vault gives those existing records a home alongside your current Interactive Minute Book.

The vault is available on both Free and Pro. It stores and displays PDFs; it does not scan, interpret, OCR, summarize, or extract information from them.

What You Can Store

Use the vault for existing corporate PDF records such as:

Files must be PDFs and may be no larger than 50 MB each.

How to Organize an Existing PDF

  1. Open the corporation in MinuteKeep and go to its Files area.
  2. Select Upload PDF and choose the file from your device.
  3. Add a clear display name, label, and category.
  4. Mark frequently used records as important and reorder files into the sequence that works for your book.
  5. Choose Standalone filing and a binder section, or choose Signed copy and the particular generated record it belongs to.
  6. Open the Interactive Minute Book to view the PDF in that binder position. A linked signed copy appears immediately with its generated record, which remains unchanged.

Your uploaded original remains available to view or download on both Free and Pro. You can also change its organization or delete it later.

What the Free Plan Includes

For each Free corporation, you can store up to 25 PDFs and 250 MB in total. Each PDF can be up to 50 MB. An account-wide 1 GB guard applies across all Free corporations on the account.

Use consistent categories and names instead of recreating a physical binder's complexity. For example:

Frequently Asked Questions

Can Free users download their uploaded PDFs?

Yes. An uploaded PDF is your original file and remains viewable and downloadable. Pro is required to generate or download the compiled MinuteKeep PDF/Word minute book.

What happens when I reach the Free storage limit?

Your existing files remain available. Delete files you no longer need or upgrade the corporation to Pro before adding another PDF.

Does MinuteKeep scan or extract information from an uploaded PDF?

No. The current vault stores and displays PDFs. It does not scan, OCR, interpret, summarize, or extract data from them.

Do uploaded PDFs appear in past-year minute book views?

Uploaded files are shown in their selected position in the current Interactive Minute Book. Pro's historical views represent the book's corporate data for a selected past fiscal year; uploads are not treated as historical snapshots.
